What's New!

TEA 9.20 Release features
CommonGoals Software is proud to announce the release of TEA 9.20. This is a major update and the first update to TEA in almost a year. Over the past year the development and quality assurance teams have been working diligently on improving and enhancing the software to better meet the requirements and demands of our users.

Enhancements found in the TEA 9.20 update include:

  • Optimization of the database
  • Overall increase in speed of the application, including searching
  • Enhanced memory allocation and usage
  • Increased scalability to accommodate larger multi-user environments
  • New client/server architecture and engine (optional feature)
  • Enhanced reliability and performance
  • New automation features
  • Enhanced delinquency and collection management
  • New core reports for portfolio management
  • Enhanced accounting and transaction processing
  • Increased user efficiency

There are new features to assist users in virtually every area of the application so the combined benefit will be significant. As usual, we are constantly striving to improve the software based on user feedback and market knowledge. We will continue to evolve the software and to exceed the expectations of our users as we move forward with the development of all future releases.

Over the next couple of weeks we will be sending out the update to organizations along with installation and update instructions. The update will be sent out in phases so please be patient. For your perusal we have attached a detailed document outlining the new features in TEA 9.20 and we strongly recommend that you read this document in its entirety over the next couple of weeks and prior to updating. If you need assistance in implementing some of these new features in your organization or have questions regarding the update then please do not hesitate to contact us and we would be more than happy to assist you.

Training Update

Bulk Email, Contacts and Notes
TEA has the added ability to easily send an e-mail to multiple client, rolodex or business contacts. You are also given the option to add a note or contact about the e-mail to each of the records receiving the e-mail. The feature is quite intuitive and will identify any records that do not contain a valid E-mail address and purge them from the mailing. By having these records identified, you can easily go into their records and update their E-mail with a valid address.

This feature will launch your associated E-mail application and place all of the E-mail addresses in either the To field or the BCC field which ever preference is selected when executing the E-mail option. It is quite standard to include them in BCC field as this way no other recipients will see the E-mail addresses of the other people receiving the E-mail.

If you are trying to attach or send a report from TEA to the various recipients, you should save the report in TEA as a PDF file and then attach it to the E-mail as you normally would (see the help file in Outlook or your current E-mail application for instructions on how to attach files). Ultimately, this feature allows you to maintain a detailed record of all bulk mailings that are issued from TEA.

To send a bulk e-mail

  • Open the Rolodex, Client or Business module.
  • Highlight all of the records which will be included in this e-mail by holding down the CTRL key and selecting each of them with the mouse.
  • Click Tools, Bulk e-mail/Contacts/Notes.
  • Click Send e-mail.
  • Click Next.
  • To add a note about this e-mail to each of the records included in the e-mail, select the Add a Note check box OR to add a contact record to each of the records, select the Add a Contact check box.
  • Enter the details of the note or contact and click Continue.
  • Enter the details of the e-mail and click Send.

To create bulk contact or note records:

  • Click Tools, Bulk e-mail/Contacts/Notes.
  • Click Add a Contact to Each Record or Add a Note to Each Record.
  • Click Next.
  • Enter the details of the note or contact and click Continue.

Managing General Inquiries

General inquiries made by individuals who are not yet considered clients may be bulk entered into miscellaneous contacts. This way, you will have an accurate number of contact records without having to waste time creating an entire new client record for individuals who may never actually become clients.

To bulk enter General Inquiries

  • From the client module, select Tools, Miscellaneous Contacts.
  • Click Add a Contact.
  • Add the details of the contact records including the total hours and the total number of clients contacted.
  • Select the Other Information tab to enter details such as municipality, referral and SIC code.
  • Click OK to save the contact record.
